We currently have over 200 boxes of paper documents ranging from order files to bank statements. Many of these could be dealt with efficiently by being scanned into a locally hosted database which we could access as needs arise. The documents could then be stored off-site or destroyed. Some of these old files such as very old expense account reports could be destroyed without scanning since there is no reason to retain them.

In looking into providers for these services, Media Spiders is by far the most cost-effective. The nearest competitor was more than double the cost. This is because Media Spiders focuses on small to mid-sized businesses, seeking to establish long-term relationships where business will grow for them as it grows for us. They are also local so there is no additional charge for picking up the files.

They will help train us how to access files, manipulate them if necessary and print them. This will likely turn out to be faster than digging through the mountain of boxes we have in the storage room at this time.
Going forward, we can determine at what time we feel we can part with paper in order to free up filing cabinet space. Currently, we can’t get one full year of PO’s & SO’s into the file cabinets and would need to purchase more soon to alleviate files being so tight they can’t be searched efficiently.


In conclusion, I think it would be in Sun-Wa’s best interest to begin managing documents electronically with the help of a reliable and cost-effective company such as Media Spiders.
